Meeting cost calculator

Put a number on a recurring meeting before deciding whether it should be an email.

What to do with the number

A figure like this is a prompt for a question, not a verdict. Ask whether the meeting needs everyone, whether it needs the full length, and whether a written update would do. The weekly time calculator shows how meetings sit next to the rest of your week.

Your own meeting load

The calculator covers one meeting. To see how much of your own week goes to calls, count them for a week from your calendar, or let an automatic record do it. Dayflow is a free Mac app that turns your screen activity into a timeline, so time in calls shows up next to everything else. Dayflow publishes this tool.

Frequently asked questions

How is the cost of a meeting calculated?

Attendees multiplied by the meeting length in hours, multiplied by the average hourly cost of an attendee. For a recurring meeting, that figure is multiplied by how many times it happens in a year.

What should I use for hourly cost?

A rough average is fine. Annual salary divided by about 2,000 working hours gives a simple hourly figure. The point is the order of magnitude, not precision.

Does this include preparation and recovery time?

No. It counts only the time in the room. Preparation and the time it takes to get back into focused work afterward come on top.

Is my data sent anywhere?

No. The calculation runs in your browser and nothing you type is stored or sent.
