Timesheet template

A good timesheet lets you, or whoever reviews it, see where each hour of the week went and what came of it. This format keeps one row per block of work, with project, times, hours and a short note, so daily and weekly totals are easy to check before you copy them into an official system.

How to fill it in

  1. Fill in your name and the week's start date, and leave the status as a personal draft until someone has reviewed it.
  2. Add one row for each block of work, using the same project names every day so the weekly totals add up cleanly.
  3. Write start and end times, subtract unpaid breaks, and record hours in decimals such as 0.25 for 15 minutes and 0.75 for 45 minutes.
  4. Use the notes to say what you finished and what is still open, then copy the unfinished items into the open items list.
  5. Add each day's total, then each project's total, and check that both sums match before you enter the hours in your official system.

On a Mac, Dayflow can help you remember the work behind the update. It drafts a timeline from screen activity. Export a date range as Markdown from Settings → Export. Review that record alongside your calendar and task tracker, then fill in the template above.

Questions about this template

What should a weekly timesheet include?

At minimum, your name, the week, and for each day the project or task, start and end times, hours worked and a short note. Daily totals and per-project weekly totals make it easy to check. Many people also list unpaid breaks and time off so the reviewer can see why a day looks short.

Is this timesheet an official payroll record?

No. This template is a personal draft that helps you keep track of your hours. It becomes a record only after your employer or client reviews and approves it in their own system. Copy your checked totals into that system, and follow its rules for rounding, breaks and overtime.

How do I convert minutes to decimal hours on a timesheet?

Divide the minutes by 60. 15 minutes is 0.25 hours, 30 minutes is 0.5, and 45 minutes is 0.75. So a block from 10:00 to 15:00 with a 45 minute unpaid lunch is 5 hours minus 0.75, which comes to 4.25 hours. Check whether your employer rounds to the nearest quarter hour.

Should I include unpaid breaks and time off on my timesheet?

Subtract unpaid breaks from your hours, and it helps to note them in brackets so the time range still makes sense. Time off can go on its own row marked as not counted. That way a reviewer can see why a day is short without the hours being added to your total.

How can I fill in a timesheet if I forgot to track my hours?

Rebuild the week from your calendar, sent emails, file history and chat messages, then estimate the gaps honestly. On a Mac, Dayflow can draft a timeline from your screen activity that you can use as a starting point. You still need to check it, correct anything it got wrong and add offline work like calls or meetings away from the computer.
