Work journal template

A good work journal gives you an honest record of what you did, what you learned and what is still open, so tomorrow starts faster and review season doesn't start from memory. This format keeps the time blocks short and gives blockers, decisions and tomorrow's plan their own sections so you can find them later.

A completed example

This fictional example shows the level of detail to aim for. It is not a customer's work history.

Work journal
Name: Priya, product designer
Date: Tuesday, 14 October

Main focus: Finish the checkout redesign handoff for the Larkspur mobile app.

What I worked on
- 9:10-10:40 Checkout flow in the design file. Finished the address and payment screens. Error states not started.
- 10:45-11:15 Standup, then a quick call with Owen about the promo code field.
- 11:30-12:20 Handoff notes for the payment screen. Spacing values still need a check.
- 13:30-15:00 Sorted notes from Friday's Tidepool onboarding sessions into three themes.
- 15:15-16:30 Email, review comments, and a broken prototype link reported by support.

What I learned
- Most people in Friday's sessions skipped the welcome screen entirely. The real first impression is the permissions prompt.
- Writing handoff notes while I design saves a full pass at the end.

What got stuck
- Card decline error states. Waiting on final copy from the payments team, asked Dana on Monday.

Decisions
- The promo code field moves behind a small link on the payment screen. Owen agreed.

How the day felt
- Focused morning, scattered afternoon. Too many small requests between 3 and 4.

Tomorrow
- Error states, if the copy arrives. If not, chase Dana before noon.
- Check spacing values in the handoff notes.
- Send the onboarding themes to Owen before Thursday's review.

How to fill it in

  1. Write one sentence for your main focus before you start, so you can compare it with what actually happened.
  2. Log each block of work with a rough start and end time and one line on the result, including anything you left unfinished.
  3. Under What got stuck, name the blocker and who or what you are waiting on, so the next step is obvious tomorrow.
  4. Before you log off, move unfinished work into Tomorrow and add one honest line about how the day felt.

Start from your actual work

On a Mac, Dayflow can help you remember the work behind the update. It drafts a timeline from screen activity. Export a date range as Markdown from Settings → Export. Review that record alongside your calendar and task tracker, then fill in the template above.

For a guided walkthrough, see exporting your work history or drafting a report with Claude Code. Check the assistant's draft before sending it.

Local AI keeps screenshot analysis on-device. Your own cloud provider or Dayflow Pro processes selected screenshots off-device. An assistant can receive the Dayflow data it retrieves in your conversation. Local storage does not make a cloud assistant conversation local. Read the data-flow guide before choosing a workflow.

Questions about this template

What should I write in a work journal?

Write what you worked on, roughly when, and what came of it. Add what you learned, what got stuck and why, decisions you made, and what carries over to tomorrow. A line on how the day felt helps you spot patterns later, such as meetings that always drain your afternoon. Keep each item short enough to scan.

What is the difference between a work journal, a work log and a timesheet?

A work log records what you did and when. A work journal adds reflection: lessons, decisions, frustrations and plans. Neither is a timesheet. A timesheet is a formal record your employer or client approves for pay or billing, usually in their own system. You can use journal notes to fill one in, but check the hours against that system.

How long should a daily work journal entry take?

Five to ten minutes at the end of the day is usually enough. Write the time blocks first while they are fresh, then the stuck items and tomorrow's list. If you miss a day, write a short entry the next morning instead of skipping it, because the details of a workday fade quickly.

Can a work journal help with my performance review?

Yes. It records wins, decisions and problems you solved when they happen, instead of months later from memory. Before you share anything, rewrite the relevant points into a clean summary. The journal itself is private notes and may include opinions and moods you would not put in a formal document for your manager.

Can I fill in a work journal automatically?

Partly. Dayflow is a Mac app that drafts a timeline from your screen activity, which can help with the time blocks. You still need to check it, because AI summaries can miss or misread work, and add meetings, calls and other offline work yourself. The reflection sections, like lessons and decisions, are yours to write.
